As a Receptionist, you will be the first point of contact for our company.
Our Receptionist's duties include offering administrative support across the organization.
You will welcome guests and greet people who visit the business and those who call in.
You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role.
You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations.
Multitasking and stress management skills are essential for this position.
Ultimately, a Receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
Essential Functions & Responsibilities Responsible for answering phone calls, routing calls and assisting clients and vendors; Provide superior customer service, attention to detail, responsiveness and follow through; Using our Real Green software to the fullest ability possible, including entering new customers, cancelling customers service who have left, printing tickets for jobs and preparing prepaid letters at the beginning of the year; Secondary responsibility for printing tickets and routes for daily jobs; Secondary responsible for verifying previous day Timeswipe time entries against time tickets; Responsible for ensuring all property contracts are signed and filed; Responsible for entering takeoff estimates for property measurements; Responsible for sending our irrigation turn on/turn off notices to clients; Ensures all new employee paperwork is fully and accurately completed, securely filed and new employee information is properly set up in system for payroll; As a function of payroll, keeps track of all employee clothing purchases and coordinates the employee payroll deduction program; Various administrative support functions, including responsibility for the completion of the agendas for the weekly staff meetings; Acts in a stewardship capacity for the company, works as a functional member of the team, has ability to self-direct and self-regulate work-day and to effectively direct the work of others; Other duties as assigned Placement Criteria Related college courses or professional training in office administration and 2-5 years of experience in as an administrative assistant, office coordinator, or receptionist or suitable combination of education and relevant experience; Extensive knowledge of commonly-used concepts, practices, and procedures within a service based industry business, specifically, previous knowledge within the lawn and landscape or similar industry is a plus, and demonstrated comprehensive knowledge of office and facilities coordination and basic customer service, and the ability to professionally answering phones; Demonstrated organization, facilitation, communication and presentation skills; Ability to prioritize workflow and organize diverse material and ability to handle multiple, competing and changing priorities; ability to perform effectively without supervision and within established time limits and ongoing deadlines; Ability to interact effectively and professionally, and provide exceptional service, both internally and externally at all times; Employee should be highly proficient in Microsoft Office, have excellent computer skills, display adaptability in learning the use of company specific software and display comprehension of fundamental computer practices and database management; All employees are expected to exhibit exemplary customer service skills, both with external customers, vendors, visitors, co-workers, and management staff.
